Privacy Policy
The Recovery Files • www.TheRecoveryFiles.com
The Recovery Files ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use The Recovery Files mobile application (the "App") and website at www.TheRecoveryFiles.com (the "Site"). We understand the sensitive nature of recovery and wellness. Your trust is essential, and we take the responsibility of protecting your personal information seriously.
1.1 Information You Provide Directly
When you use our App or Site, you may voluntarily provide information including:
- Account registration information (name, email address, password)
- Assessment responses and self-reflection entries you input into our tools
- Challenge progress and completion data
- Consent forms you sign in the App, including your typed name, your drawn signature and the date
- Feedback, support inquiries, and correspondence you send to us
- Subscription and payment information (processed securely through Apple's App Store; we do not store credit card numbers)
1.2 Information Collected Automatically
When you access the App or Site, certain information may be collected automatically, including:
- Device type, operating system, and version
- App usage data (features accessed, session duration, frequency of use)
- Crash reports and performance data
- General location information (city/state level, not precise GPS)
- IP address and browser type (website only)
1.3 Information We Do NOT Collect
We want to be completely transparent about the boundaries of our data collection:
- We do NOT collect Protected Health Information (PHI) as defined by HIPAA
- We do NOT collect or store your precise GPS location
- We do NOT collect biometric data
- We do NOT collect information from your contacts, camera, or microphone
- We do NOT sell, rent, or trade your personal information to third parties
- We do NOT use your data for targeted advertising
We use the information we collect to:
- Provide, maintain, and improve the App and its features
- Store your assessment results and challenge progress so you can track your recovery journey over time
- Process your subscription and manage your account
- Respond to your inquiries, feedback, and support requests
- Send service-related communications (account confirmations, updates, security alerts)
- Analyze usage trends to improve our tools and develop new features
- Ensure the security and integrity of our platform
We implement industry-standard security measures to protect your information, including encryption of data in transit and at rest, secure server infrastructure, and access controls limiting who can view your data.
Your assessment responses and personal reflections are stored securely and are associated with your account. Only you can access your individual results, unless you choose to share them with your therapist as described in Section 4. Our team does not review individual user responses unless you specifically share them with us for support purposes.
While we strive to use commercially acceptable means to protect your personal information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security but are committed to taking all reasonable precautions.
We do not sell your personal information. We may share information only in the following limited circumstances:
- Your Therapist, With Your Signed Consent: If you connect with a therapist in the App and sign a consent form, that therapist can see only the categories you choose, such as Mood Logs, Journal Entries or Assessment Results. Nothing is shared until you sign. Your therapist sees your information only through the signed-in Therapist Portal, the App keeps a record each time your therapist opens your records, and your therapist keeps a copy of your signed consent. You can change what you share or turn off your therapist's access at any time in Therapist Access. This stops sharing from that moment on, but it does not undo what your therapist has already seen. A consent lasts one year from the day you sign it unless you end it sooner.
- Service Providers: We may share information with trusted third-party service providers who assist us in operating the App (e.g., hosting, analytics, payment processing). These providers are contractually obligated to protect your information.
- Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
- Safety: We may disclose information if we believe in good faith that disclosure is necessary to protect the safety of any person, or to prevent illegal activity.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, with continued privacy protections.
- Aggregated Data: We may share anonymized, aggregated statistical data that cannot identify any individual user for research or reporting purposes.
5.1 Access and Control
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated data
- Export your data in a portable format
- Choose what, if anything, to share with your therapist, and withdraw that consent at any time
- Opt out of non-essential communications
5.2 Account Deletion
You may request deletion of your account and all associated data at any time by contacting us at privacy@TheRecoveryFiles.com. Upon receiving your request, we will delete your account and personal data within 30 days, except where we are required by law to retain certain information.
5.3 California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to request deletion, and the right to opt out of the sale of personal information. We do not sell personal information.
5.4 European Users (GDPR)
If you are located in the European Economic Area, you have rights under the General Data Protection Regulation including the right to access, rectify, port, and erase your data, as well as the right to restrict or object to processing. Contact us to exercise these rights.
The Recovery Files is intended for users aged 17 and older. We do not knowingly collect personal information from children under 17. If we learn that we have collected personal information from a child under 17, we will take steps to delete that information promptly. If you believe a child under 17 has provided us with personal information, please contact us immediately.
The App may contain links to third-party websites or services, including crisis hotlines, support group directories, and educational resources. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third-party services you access through our App.
Our App uses Apple's App Store for payment processing. Apple's privacy practices are governed by Apple's own privacy policy, available at apple.com/privacy.
We retain your personal information for as long as your account is active or as needed to provide you services. If you request account deletion, we will delete your data within 30 days, except where retention is required by law or for legitimate business purposes (such as resolving disputes or enforcing our agreements).
Assessment results and challenge progress data are retained as long as your account is active to allow you to track your recovery journey over time. You may delete individual results at any time within the App.
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top. For significant changes, we will provide additional notice through the App or via email. Your continued use of the App after changes are posted constitutes your acceptance of the revised policy.
